This Privacy Policy outlines how we collect, use, disclose, store, and protect personal information in providing our services, including web/email hosting, domain reselling, website building/management, content development, and strategic consulting under our sub-brands (Ranges Technology, Digital, Media).

This policy applies to all clients, website visitors, and users of our services (“you”, “your”). For specific data handling practices (e.g., sensitive health or credit information), refer to your Individual Service Agreement (ISA) under our Master Services Agreement (MSA).

What Personal Information We Collect

We collect personal information necessary to provide our services, including:

  • Contact Details: Names, email addresses, phone numbers, and business addresses provided by clients for communication, billing, or service delivery.
  • Service-Related Data: Information provided to perform services, such as website content, user preferences, or technical data (e.g., IP addresses, server logs).
  • Payment Information: Billing details (e.g., bank or credit card information) processed via secure third-party payment providers (e.g., Stripe, PayPal).
  • Other Information: Any additional data you provide (e.g., project requirements, feedback) or we collect to comply with legal obligations.

We do not collect or process sensitive information (e.g., health, credit, or financial data) unless expressly agreed in writing in an ISA with your informed consent, as per our MSA (section 3.2).

How We Collect Personal Information

We collect personal information:

  • Directly from You: When you engage with us via email (e.g., info (at) ranges net au), phone (03 9024 1940), our support portal (my.ranges.support), or signed Proposals/ISAs.
  • Through Our Services: Automatically via website analytics, server logs, or third-party tools (e.g., Cloudflare, hosting platforms) used to deliver services.
  • From Third Parties: Only when authorised by you or specified in an ISA (e.g., client-requested CRM data).

We collect information lawfully, fairly, and with your knowledge, in line with APP 3.

How We Use Personal Information

We use personal information to:

  • Deliver services (e.g., website hosting, content development, consulting).
  • Communicate with you about engagements, invoices, or support requests.
  • Improve our services through analytics and feedback.
  • Comply with legal obligations (e.g., tax, law enforcement requests).
  • Promote our services, subject to your consent or opt-out (see MSA section 9.1).

We do not use sensitive information unless specified in an ISA.

Disclosure of Personal Information

We may disclose personal information:

  • To subcontractors (e.g., overseas virtual assistants) or third-party providers (e.g., cloud, DNS, SaaS) as necessary to deliver services, subject to their privacy terms and our MSA (section 3.1). We ensure reasonable safeguards are in place.
  • To law enforcement or regulatory bodies upon lawful request (e.g., court order), as per MSA section 10.4. Where permitted, we will notify you.
  • With your consent, for promotional purposes (e.g., testimonials, case studies), subject to opt-out (MSA section 9.1).

We do not sell or share personal information for unrelated purposes.

Data Security and Breaches

We implement reasonable security measures (e.g., encryption, access controls) to protect personal information we control, as per MSA section 3.2. However, we are not liable for breaches unless grossly negligent. In case of a data breach:

  • We will notify you within 48 hours of becoming aware.
  • We may restore data from backups, if agreed in an ISA.
  • You are responsible for regulatory reporting (e.g., to the Office of the Australian Information Commissioner), as per MSA section 3.2.

For sensitive data, specific security measures will be detailed in ISAs.

Third-Party Services

Our services may use third-party providers (e.g., Cloudflare, hosting platforms) that process personal information under their own privacy policies. We disclaim liability for their performance or security, as per MSA section 3.1. You are responsible for maintaining subscriptions/licenses for third-party services you select (e.g., CRM, plugins), unless we agree to manage them in an ISA.

Client Responsibilities

You warrant that any personal information or materials provided to us (e.g., website content) comply with the Privacy Act 1988 (Cth) and you have obtained necessary consents (e.g., for employee or customer data). You indemnify us against claims arising from misuse or unlawful provision of data, as per MSA sections 3.4 and 4.3.

Storage and Retention

We store personal information securely in Australia or, where subcontractors are used (e.g., overseas VAs), in jurisdictions with comparable privacy protections. We retain data only as long as necessary for service delivery, legal compliance, or as specified in an ISA. Upon termination or project completion, we may delete data after a reasonable period (e.g., 30 days), subject to MSA section 7.4.

Access and Correction

We will respond within a reasonable time (typically 24 hours for general inquiries, per MSA section 7) and provide access or corrections unless prohibited by law, in line with APP 12 and 13.

We will respond within 24 hours during business hours (9am-4pm AEST, Mon-Fri, excluding Victorian public holidays) and aim to resolve complaints promptly. We may update this Privacy Policy to reflect changes in our services or legal requirements. Updates will be posted at https://ranges.au/privacy, and significant changes will be notified to active clients. Continued use of our services constitutes acceptance of the updated policy.
